Sperry Tree Care requires meeting intelligence across two distinct environments:
Weekly status calls, team meetings, and client consultations in Michele's office. Requires reliable, stationary transcription and summary generation without portability constraints.
Estimators capturing notes during on-site client walk-throughs and property assessments. Requires discretion, portability, and minimal disruption to client interactions.

Setup: Plaud Note device placed on conference table + Otter.ai integration. Plaud captures room audio and generates local transcripts; Otter enhances with AI summaries, action items, and speaker identification.
Setup: If meetings primarily occur via Google Meet or Zoom, Fireflies.ai can auto-join each call, capture audio, and generate transcripts and summaries automatically. Zero hardware required.
Why This Works: The Plaud Note is discreet, sits naturally on a conference table, and requires no setup between meetings. Otter.ai's AI layer transforms transcripts into actionable insights. For video calls, Fireflies handles everything in software.
Setting: Client property walk-throughs, site assessments, on-site estimates.
Key Requirements:
Setup: Clip-on pendant device worn by estimator. Press-to-record button. Captures conversation without requiring phone presence. AI generates summaries and action items on-device or via cloud.
Why This Works: Plaud NotePin is purpose-built for in-person recording. It's small, clips to clothing or bag strap, and doesn't require pulling out a phone during client conversations. The press-to-record interaction is intuitive and professional. AI summaries are available within minutes of the meeting ending.
Consent Model: Sperry should disclose recording during initial client contact and site visit. NotePin's compact form factor makes it transparent—clients see a small recording device rather than being secretly recorded on a smartphone.
